Attachment templates allow you to easily generate placeholders for files & weblinks that need to be uploaded or checked off. This helps make sure you never miss gathering all the required documentation for a transaction.

Attachment Features



Attachment Type

You can select from 2 placeholder types: file or web link. You will upload files or apply links after the template is applied to the transaction.

Signature Tracking

You have the option to turn on this feature for each attachment placeholder entry. You will select the roles that need to sign this document. Once the attachment template is applied to the transaction you will be able to actively track what signatures are still needed with color indications:

  • Red Role Initials = Signature Needed
  • Black Role Initials = Signed
  • Grey Role Inititals = No Signature Needed

Folder

You have the capability to create multiple folders within a single attachment template to better organize your attachments. If you do not fill out a folder name, then it will automatically be placed under [No Folder].

Merge Field Code

Each attachment entry has a custom merge field code associated with it. With this code, you can define what it will be and you can reference it in email templates to auto-attach the file if a file is uploaded in this placeholder.


Visibility

You can control the attachment entry's visibility on the managed agent and buyer/seller portals by simply toggling it on or off.


Application

To help reduce the number of templates you need to create, you have the ability to specify which template entries should be applied based on the transaction side: seller, buyer, or dual-sided. This is especially beneficial when you have dual-sided transactions, as you will not need to apply both buyer and seller templates, which often will populate duplicated entries.

For example, if you have certain attachments that are only buyer transaction tasks you would typically mark these tasks as Buyer and Dual. This will ensure when you add the attachment template to either Buyer or Dual transactions that these attachment placeholders will be applied, but will not be applied to Seller transactions.

Color

You can customize color codes for each entry in the attachment templates. This helps in visually organizing and differentiating various attachments within the template. Customizing colors for each entry can streamline managing and tracking documentation for transactions, providing a more visually intuitive way to stay organized.


Creating An Attachment Template


  1. Under Templates, Open the attachment template view. Select + & then select Attachment Template.


    Application Link: Admin > Templates > Attachment Template


  2. Name your attachment template & select your internal organizational folder. Optional: add a description to summarize the template.



  3. Click to add a new attachment placeholder entry



  4. Fill out the attachment name, signature tracking, folder, & portal visibilities.
