Different software stores data in different formats, so some manual action and cleanup are often needed when transferring exported data to another software. Our import script recognizes tcDocs transaction export files, so you only need to review for cleanup before importing. For the contact-only export files, we provide our import spreadsheet template to use for importing. Follow the steps in this article to export from tcDocs, clean up your data, and import it into AFrame.

1. Export Instructions

When transferring data, we suggest deciding either to import all transactions (which includes the transactions' buyers/sellers contacts) or import only the buyer/seller contacts. Importing both can create duplicate contacts.


Transactions


Restore All Transactions From The Vault

  1. Click the Vault icon.
  2. Be sure to Display All on the transaction filter (right sidebar).
  3. Select all transactions.
  4. Click Restore Selected.



Export Transactions

  1. Click the Transactions icon.
  2. Be sure to Display All on the transaction filter (right sidebar).
  3. Be sure to select all transaction phases (top filter section).
  4. Select all transactions.
  5. Click Export Transactions.



Associates

  1. Click the Associates icon.
  2. Click Export.



Buyers & Sellers

  1. Click the Buyers & Sellers icon.
  2. Click Export.



2. Cleanup & Prep Instructions

You will need to review your exported files to tidy up data and remove duplicates. It’s much easier to make these adjustments in a spreadsheet before importing than to update individual contacts or transactions later—or to merge two duplicate contacts at a time. Follow the instructions for each export file below:



Transactions

Listings

tcDocs listing exports files are not compatible with our import script because it includes past & current listings. This would create duplicate seller contacts and transactions when you import their separate transaction export file.


Transactions

This exported file can be used directly to import into your AFrame account.

  • Review to tidy up any transaction and contact data
  • Remove any duplicate or "test" transactions



Buyers/Sellers


If Importing Transactions:

This buyer/seller file is not needed as your transactions' buyers & sellers are included in the transaction export file. Importing both can result in duplicate contacts.



If Importing Only Buyer/Seller Contacts:

Transfer your exported data into our Contact-Only Import Template. If you’re using our transaction import template to import your active listings, then you can add the contact data in new rows and leave the transaction columns blank to import both listings and contacts at the same time.

  • Remove any duplicate contacts
  • Split contact rows with more than 2 names—AFrame only supports Primary and Spouse on a single row (contact detail card)
  • All AFrame contacts must have a Company Name -or- First & Last Name
  • Use the contact categories for better organization (i.e., contact roles)



Associates

The associate export file contains both your agent data and vendor data due to how tcDocs stores the contacts. This data needs to be separated for importing correctly.

  1. Transfer your agent data to our Managed Agent Import Template
    • This is needed to create managed agent profiles in your account
    • If importing your tcDocs transactions, the agent import file needs to include every primary agent assigned to a transaction to ensure their profile is assigned to their imported transactions
  2. Transfer any remaining contact data to our Contact-Only Import Template. If you’re using our transaction import template to import your active listings, then you can add the contact data in new rows and leave the transaction columns blank to import both listings and contacts at the same time.
    • Do NOT include any agents that are in the managed agent import file, or it will create duplicate contacts for those
    • Remove any duplicate vendor contacts
    • Remove any contacts with the title "TBD" or "New ___", as these are placeholder contacts typically found in tcDocs export files.
    • Update the role column to reflect the contact category you want them tagged with in AFrame.
    • All AFrame contacts must have a Company Name -or- First & Last Name

3. Import Instructions

After cleaning up your data, choose one of two options to import it into AFrame. We recommend using the assisted import option—our team will review your file to ensure everything is formatted correctly and handle the import for you.


Assisted Import (recommended)

Send us your prepped import files, and we’ll handle the importing process into your account.



Self-Import

Read our important notes for self-importing below to avoid issues. Then follow our Import Transactions article for step-by-step instructions. You will use your tcDocs export files in the upload area instead of our spreadsheet template.


Import Notes:

  • Clean up data in exported files before importing!
  • The Associate & Listing export file is not compatible with our tcDocs import script. Create them manually in AFrame or transfer data to our spreadsheet template for import.
  • Import Associates as managed agents BEFORE importing the transactions file to appropriately assign the transactions to the correct primary agent. Otherwise, all transactions will import with you as the agent.
