Different software stores data in different formats, so some manual action and cleanup are often needed when transferring exported data to another software. We provide import spreadsheet templates to use for importing. Follow the steps in this article to export from Open To Close, clean up your data, and import it into AFrame.


Disclaimer: These export steps were accurate at the time of writing. Open to Close may have changed since. For questions about exporting from their system, please contact their customer support.

1. Exporting Instructions

Contacts

  1. Select the Contacts tab to view your contact list.
  2. Edit Contact Role options (see note below)
  3. Edit the Table Columns to include all the data you want to export for the contacts.
  4. Click Export CSV.


Note: If importing transactions, it will include the buyer/seller contact of each transaction. To avoid creating duplicates, exclude the Buyer & Seller transaction roles from your contact export.




Transactions

  1. Select the Transactions tab to view your transactions list.
  2. Edit the Table Columns to include all the data you want to export for the transactions.
  3. Click Export CSV.


Note: It can only export up to 1,000 transactions at once.




2. Cleanup & Prep Instructions

You will need to review your exported files to tidy up data and remove duplicates. It’s much easier to make these adjustments in a spreadsheet before importing than to update individual contacts or transactions later—or to merge two duplicate contacts at a time.


Agents

Transfer your agents (managed agents) information to our managed agent import template. This will need to be imported first to allow you to assign the agent to their transactions in the transaction import step. The import template is provided in the linked article below.


Transactions

Transfer your exported transaction data to our contacts+transaction import template. The import template is provided in the linked article below.

  • Review to tidy up any transaction and contact data
  • Remove any duplicate or "test" transactions
  • You will only be able to import the respective buyer or seller per transaction
  • You can assign the managed agents and TC/Assistants to each transaction


Contacts

Transfer your exported contact data to the same contact+transaction import template, while leaving the transaction side columns blank. 

  • Remove any duplicate contacts
  • Separate First and Last Names
  • All AFrame contacts must have a Company Name -or- First & Last Name
  • Use the contact categories for better organization (i.e., contact roles)


Note: If importing transactions, it will include the buyer/seller contact of each transaction. To avoid creating duplicates, exclude adding the Buyer & Seller role contacts from the contact export file.

3. Import Instructions

After cleaning up your data, choose one of two options to import it into AFrame. We recommend using the assisted import option—our team will review your file to ensure everything is formatted correctly and handle the import for you.

Import Notes:

  • Clean up data in exported files before importing!
  • Import managed agents BEFORE importing the transactions file to appropriately assign the transactions to the correct primary agent. Otherwise, all transactions will import with you as the agent.
