Date templates allow you to create custom templates with all the dates that can pop up in your transaction. Creating multiple templates can be useful for different states or regions that have their specific terminology used. Dates templates utilize merge field codes which can be linked to task template due dates, syncing your productivity across the transaction.

Date Features
Due Date
- Manual Date: Manually will enter the contract due date after applying the date template to a transaction.
- Formula: Use a formula to automatically calculate an adjusting due date based on a reference date.
- +/- Days: Specify the number of days before (- number) or after (+ number) the Adjustment Date.
- Date Adjustment Calculator: You can also specify how to adjust the +/- days value. In other words, is the date due "5 calendar days before the closing date" or "5 business days before the closing date"? Custom calendars are defined on the Transaction Date Template page.
Application Link: Admin > Templates > Transaction Date - Reference Date: The reference date is another date entry or standard date (such as list date, effective date, template start date, or closing date) that can be selected to help in your due date formula. This will help the due date of your date entry automatically reflect any changes to the reference date. In other words, if you want "X Date" to be due 5 days before the closing date & if the closing date is adjusted, then the formula will auto-reflect the change by changing the "X Date" as well.
- +/- Days: Specify the number of days before (- number) or after (+ number) the Adjustment Date.
Time/Duration
When setting up the date template you can set up the time or duration of the date if known at the time or select "All Day" and it can be filled in after applying the date template to the transaction. The duration can be adjusted for dates, such as appointments, to give the agents and buyers/sellers a better indication of the time needed.
Reminders
Checking off the reminders box will send reminders to the managed agent and TC assigned to the transaction. The reminder will be sent at the time selected & will go to the managed agent/TC's preferred reminder notification choices selected in their accounts. The two options for reminder notifications are: email and text. The reminder selections can be changed under Admin > Team Members > Reminders .
Application
To help reduce the number of templates you need to create, you have the ability to specify which template entries should be applied based on the transaction side: seller, buyer, or dual-sided. This is especially beneficial when you have dual-sided transactions, as you will not need to apply both buyer and seller templates, which often will populate duplicated entries.
For example, if you have certain dates that are only buyer transaction dates, then you would typically mark these dates as Buyer and Dual. This will ensure when you add the date template to either Buyer or Dual transactions that these tasks will be applied, but will not be applied to Seller transactions.

Other Details
Under other details, you can fill out the location of the appointment or a description of the date. Examples of these could be the title address for the closing date or a description under the inspection appointment date explaining that the inspection company requests agents/clients to join for the last 30 minutes to review the report. These details can be filled in while creating the template if it is a constant or added at the time of filling out the date once added to a transaction.
Folder
You have the capability to create multiple folders within a single date template to better organize your dates. If you do not fill out a folder name, then it will automatically be placed under [No Folder].
Merge Field Code
Each date entry has a custom merge field code associated with it. With this code, you can define what it will be and you can reference it in email templates or even use it within due date formulas for other date entries or tasks.
Visibility
You can control the date entry's visibility on the managed agent and buyer/seller portals by simply toggling it on or off. It is noteworthy that if you have the visibility turned on for the agent portal and you have the agent set up to receive daily/weekly summary emails, then the date will be included within that summary.
Colors
You can customize color codes for each entry in the date templates. This helps in visually organizing and differentiating various dates within the template. Customizing colors for each entry, you can streamline managing and tracking transaction dates, providing a more visually intuitive way to stay organized.
Creating A Date Template
- Under Templates, select + and then Date Template.
Tip: You can create Folders to better organize your multiple date templates (example: state folders)
Application Link: Admin > Templates > Transaction Date
- Select + to add a new date entry
- Fill out the name, manual/formula date, reminder, location, folder name, merge field code, & portal visibilities.
